1. Who is responsible
math-outreach.ch (“we”, “the site”) is operated by Xavier Morvan, as a non-commercial initiative. For any question about this policy or your data, write to contact@math-outreach.ch.
2. Our approach, in short
We collect the minimum data needed to run a Swiss mathematics-outreach portal, we store it in Switzerland (Infomaniak), we use no third-party advertising or tracking, we set no tracking cookies, and we never sell your data.
3. What we collect, and why
- Browsing the site: our server keeps standard technical logs (IP address, date, page requested, browser type) to operate and secure the service. Legal basis: our legitimate interest in a secure, functioning site. Kept for 30 days.
- Creator accounts: to submit activities you create an account with your e-mail address, a display name, an optional organisation name, and a password (stored only as a secure hash).
- Activity / event submissions: the content you submit, plus a contact e-mail used for moderation and never published.
- Contacting us (contact form or e-mail to contact@math-outreach.ch): your name, e-mail address and message, used only to reply to you. Form messages are forwarded to our mailbox and not stored on the site.
- Forum (forum.math-outreach.ch): taking part requires a separate account (username, e-mail, hashed password); the messages you post there are public.
Legal basis for accounts, submissions and your messages: your consent and the performance of the service you request.
4. Anti-spam
Our forms are protected by ALTCHA, a privacy-friendly system that we host ourselves. It sends no data to any third party and sets no tracking cookie.
5. Automated translation
To offer content in the four national languages, text you submit for publication may be sent for machine translation to Infomaniak AI Services, a Swiss provider whose infrastructure is in Geneva. Only content intended for publication is sent — never your password or private contact details. The data stays in Switzerland and is processed with an open-weight model.
6. Where your data is stored
Everything is hosted by Infomaniak (a Swiss company with data centres in Switzerland). Your data stays in Switzerland.
7. External requests and third parties
We keep external requests to a minimum for your privacy:
- Interactive map: map tiles are served by swisstopo (the Swiss Federal Office of Topography, geo.admin.ch). When the map loads, your IP address is transmitted to this Swiss federal service so it can deliver the map images.
- Address geocoding (turning an address into map coordinates) is performed by our server, not your browser, so your IP is not exposed for that step.
- We use no third-party analytics, no advertising, no social-media buttons, no external fonts and no external content-delivery network.
Our processors are: Infomaniak (hosting and automated translation) and swisstopo (map tiles).
8. Cookies
We use only strictly necessary cookies: a session cookie when you log in to the site or the forum. We set no advertising or tracking cookies — which is why you see no cookie-consent banner.
9. How long we keep your data
- Technical logs: 30 days.
- Accounts and their content: until you ask us to delete them, or the account is closed.
- Contact messages: as long as needed to handle your request.
10. Your rights
Under Swiss data-protection law (nLPD) and, where applicable, the GDPR, you may ask us to access the data we hold about you, correct it, delete it, obtain a copy (portability), or object to a specific processing. Write to contact@math-outreach.ch; we reply within the legal time limits. You also have the right to lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC) or, in the EU, your national authority.
11. Security
We protect your data with HTTPS across the whole site, passwords stored only as secure hashes, and standard security measures on our servers. New forum accounts and submitted activities are reviewed before they appear.
12. Changes to this policy
We may update this policy; the date at the top shows the current version. We will announce significant changes on the site.
